iPhone storage full: what to remove and what System Data means

Storage · October 27, 2026 · 8 min read

Open Settings, then General, then iPhone Storage, and identify what occupies the most space before deleting anything. Start by exporting photos and videos you want to keep, then review Messages attachments and unused apps, adjusting that order to your phone's numbers. System Data includes system-managed content, so clearing a few diagnostic logs cannot promise to remove that whole category.

Read the storage page before choosing a fix

Record the available space at the top of iPhone Storage. Read each recommendation before enabling it, and tap an app to examine its usage. Photos includes videos, Messages includes attachments, and Apps includes app content and some files. These categories help you choose what to inspect, rather than treating every large number as disposable. Apple explains the storage categories and recommendations.

Offload Unused Apps preserves documents and data while removing the app itself. In iOS 26, automatic offloading is under Settings, Apps, App Store, then Offload Unused Apps. It is useful when you want to keep an app's data, but it leaves that data on the phone. Apple's iOS 26 storage guide describes this distinction.

Why System Data is not a single cache to erase

Apple lists logs, caches, indexes and system databases within its Other category, separately from the operating system's System category. Some content is non-removable; disposable caches are managed by iOS. Streaming and viewing media creates caches for faster reuse, and iOS removes temporary content when space is needed. Apple's explanation gives no target size for a completely cleared phone.

Treat a claim to clear all iPhone System Data cautiously. Removing a video targets that video; clearing accessible diagnostic reports targets those reports. Neither action proves that every cache, index or database has shrunk. Choose content you can identify and judge the result by available device space, rather than expecting one category to reach zero.

Export photos and videos, then finish the deletion

Apple's tools are enough for an ordinary transfer. Photos on Mac imports into a library, while Image Capture saves into a folder. For a folder archive, use this route from Apple's Image Capture guide:

  1. Connect the iPhone by cable, unlock it and approve trust if prompted.
  2. Open Image Capture and select the iPhone in its sidebar.
  3. Select the photos and videos to keep. Choose a folder from Import To, using Other for a different destination.
  4. Click Download, or Download All, and let the transfer finish.
  5. Open the saved files and play the videos before deleting their phone copies.

Keep both files belonging to a Live Photo, its still image and its video. If the collection includes long videos you no longer need on the phone, review those early. The iPhone-to-Mac transfer guide covers choosing the destination and transfer route.

With iCloud Photos enabled, deleting on the iPhone also deletes from the other devices using that library. A photograph visible in a syncing Mac library is therefore not, by itself, an independent archive. Keep a separate exported copy before deleting anything you still need. With Optimize iPhone Storage on, confirm that copy is the original before removing the library item. If keeping the whole collection in iCloud suits you better, Optimize iPhone Storage keeps originals in iCloud and smaller device copies when needed. Apple describes that storage trade-off.

Deleted photos stay in Recently Deleted for 30 days. After checking the archive, open Photos, Collections, then Recently Deleted under Utilities, unlock the album and tap Select. Select the items, tap More, then Delete, and confirm; Apple also documents Delete All for emptying the album. Permanent deletion cannot be undone. See Apple's deletion instructions and the export-then-delete checklist.

For duplicates, follow Apple's iOS 26 route through Photos, Collections, Utilities, Duplicates, then Merge. Apple's merge keeps one combined result and moves the extras into Recently Deleted. Review the duplicate-photo guide if you need to compare candidates before removing them.

Review Messages attachments separately

A video in a conversation needs a separate review from your photo library. In Messages on iOS 26, open the conversation, tap its contact or group icon, then a category such as Photos. Tap Edit, then Select Photos, choose the attachments, then tap the delete button and confirm.

Messages has its own Recently Deleted folder. Tap the button at the top of the conversation list, choose Recently Deleted, and select conversations to delete permanently only when you no longer need them. If Messages in iCloud is enabled, deletion reaches your other devices using it. Apple's Messages guide covers both steps.

Separate an app from its documents

Back in iPhone Storage, inspect the apps with substantial usage. Offloading retains their documents; Delete App removes the app and related data. If the documents are what you want to reduce, inspect what the app itself lets you remove before choosing deletion. The guide to finding apps to delete goes further into that decision.

For WeChat, open Me, Settings, General, then Storage inside WeChat. Review the choices there before confirming removal. Yado's WeChat row shows its data size and points to that route; it does not delete WeChat chats or files from the computer. Which files a conversation still needs is a decision left to WeChat.

Use Yado to review the cleanup candidates on Mac

If the Apple steps already solve the shortage, you can stop there. Yado helps when you want to review several cleanup categories together on the Mac. Connect by USB for photo cleanup, even if you normally use a paired Wi-Fi connection for other tasks.

In Overview, click Storage to open the iPhone Storage panel. It shows the space breakdown, large apps, and measured candidates such as duplicates, screenshots, screen recordings and diagnostic logs. Manage Apps opens the app list; Free Up Space opens Clean. The panel itself deletes nothing, and its remaining Other space is not a measurement of everything you can safely remove.

Clean brings these rows and their measured sizes together. Rows with no content disappear, so the list varies between phones.

Row What happens
Duplicate Photos Review the extra copies and select which to delete; each group keeps one photo. These copies are deleted without first exporting them.
Screenshots Review and select items to export to the Mac, verify, then remove from the phone.
Screen Recordings Uses the same export, verification and removal sequence.
Diagnostic Logs Selects accessible crash and diagnostic reports for clearing; this is not all System Data.
Recently Deleted Shows the count and size, with instructions to empty it on the iPhone.
Large Videos Lists videos of at least 100 MB, largest first, for export and removal.
Media Over a Year Old Lists older photos and videos for review and export before removal.
Largest Apps Opens Apps sorted by size; it does not uninstall from this row.
WeChat Appears when its data reaches 1 GB and explains how to clear it inside WeChat.

The selected items determine the footer's Clean button and size. Choose a destination folder when moving media, review the confirmation, then click Clean. For those media exports, Yado checks size and content before deletion. With iCloud Photos on, or its state unknown, an item whose original cannot be confirmed stays on the phone. Duplicate cleanup instead relies on reviewing the group and keeping a photo, so do not treat its selection as an exported archive.

Check the result when space has not returned

Return to Settings, General, iPhone Storage and compare available space with the figure you recorded. If you only exported files, the phone copies still occupy space. If you deleted photos, check Recently Deleted; Yado's completion message also tells you to empty it before expecting that space back.

If Yado reports that originals were kept, inspect those items and the exports rather than forcing another deletion. A failed export check should leave the phone copy in place. A photo row requiring a cable needs a USB connection, not another Wi-Fi scan.

Finally, check which storage is full. Settings, your name, then iCloud describes cloud storage; Settings, General, iPhone Storage describes the phone. More cloud capacity does not enlarge its physical storage. Apple distinguishes the two; Optimize iPhone Storage changes which photo copies remain locally, while an export followed by deletion removes the chosen items from the library.

Yado manages your iPhone from the Mac over a cable: photos, duplicates, apps, files and local backups.
